On-site access to the collections of the Institute for Regional Studies & University Archives is generally free of charge. For a fee, the archives provides duplicates of photographs, documents, audio-visual and published material in its collections. This schedule outlines the fees charged. All charged fees are dedicated to the preservation of the archival collections.

Permission and use fees: Permission for use of the duplicates obtained from the Institute and University Archives must be obtained in writing from the archives staff. For details on our guidelines consult Photograph Permission to Publish Policy.

Delivery time: Standard delivery time is within one week of receipt of order. Larger orders may require more time. Consult with archives staff if your needs are less than one week.

Payment: Prepayment is not required for orders under $75. A university bill will accompany the items ordered. To bill individuals the university business office requires an individual’s date of birth (used as a control number); if unwilling to provide DOB then prepayment is required. Contact archives staff on how to arrange prepayment.

Right of refusal: The Institute for Regional Studies & University Archives reserves the right to refuse to duplicate items in its collections due to condition or restrictions imposed by donor agreements or copyright.

Reference Services: The archives staff is not able to conduct extensive research. For research requiring considerable time, the archives staff will assist in locating a local individual that a researcher may contact directly and hire to conduct extended research. 

Digital Copies
Photograph print reproduction service is no longer offered. Reproduction of photographs and other items are made in digital format. Digital copies will be mailed on CD or can be sent as an e-mail attachment (5 scan limit). Copies normally will be sent in JPEG format. For digital copies indicate the desired resolution in pixels per inch (ppi). Indicate if format other than JPEG is needed. Rush orders (less than one week) are double the listed fee.

Reproduction Use Fees
One-time only, non-exclusive for all types of uses. Non-profit organizations, both in-state and out-of-state, will be charged the in-state rate.

Copy Fees
Fees apply only to mail, e-mail, telephone requests filled by archives staff. Mail order minimum fee is $5.00. For mail orders over 25 pages, photocopy fee doubles. For orders done by outside firm: firm’s cost plus $10.00 service fee per order. Rush orders (less than one week) are double the listed fee.

*Only entire audio or video cassettes are digitized, we do not provide segments of the original.

Shipping and Handling
Unless otherwise arranged by the customer, items will be sent via First Class USPS mail. For shipping and handling fees for overseas, oversize or orders larger than described below, contact archives staff at 701-231-8914 or e-mail ndsu.library.archives@ndsu.edu.
